How to Edit a PDF Online

PDFs were designed to look identical everywhere, which is exactly what makes them awkward to edit. Knowing which kind of change is easy and which is not saves a lot of frustration.

The short answer

Open the PDF in an editor, click where you want to change something, and type. For small corrections and added text this works well. For rewriting whole paragraphs, converting to Word first is usually the better route.

What edits well, and what does not

Short, self-contained changes work well: a date, a number, a name, a line of added text. The edit is drawn onto the page and the rest of the document is untouched.

Reflowing a paragraph is a different matter. A PDF does not store paragraphs, only positioned text, so making a sentence longer will not push the following lines down. For substantial rewriting, convert to Word, edit there, and convert back.

Scanned documents cannot be text-edited at all until they have been through OCR, because the page is an image rather than text.

Filling in a form

Some PDFs have real interactive fields you can click into. Those are best completed with a form filler, which keeps the field data intact.

Many forms, especially printed-then-scanned ones, have no fields at all — just lines on a page. Placing text manually is the correct approach there.

Adding a signature

A signature is a specific enough job to deserve its own tool, where you can draw or upload it and place it precisely.

If a document needs to be tamper-evident afterwards, add password protection once the signature is in place.

Can I edit a scanned PDF?

Not directly. Run OCR first to add a text layer, then the text becomes selectable and editable.

Will my fonts stay the same?

Edited text is redrawn using a close match to the original. On documents using unusual fonts, an edited line may look slightly different from its neighbours.

Can I remove text rather than change it?

Yes. For anything genuinely sensitive, use redaction instead, which removes the underlying content rather than covering it.
